2. Minutes from previous meetings:
- Check old & new business notes from last months and annual meeting. No one had any significant comments.
- Management report from Bundy needs to be completed.
- BAM did not give the presentation, Debbie Eblen did. Change Power Point slides to reflect Chairperson’s report.
- April 18, 2015 – no changes
- May 2, 2015 – Minor corrections

3. Reports from committees:
A. Treasurer - Christy
Christy and Carol Todd met with Kathy Bundy to review financial report– transfer of all finances will go to Union bank (charge/debit card transactions); see financials.
B. Pool-Pete
Pool issues going well – he has suggested a few issues to the pool man and is now doing better.
- Beer cans in the recycle trash can – if they’re not picked up, they will be thrown away.
- Bathrooms – The ladies who volunteer are doing a great job keeping them clean and it’s saving the village money.
- Jason (pool man) comes daily to check the water – signs off on a document. Vacuuming pool, no he doesn’t do daily. Suggestion - Can we see if he can do every other day, especially in the summer months when there is high traffic?
- Christy – update pool form – no smoking in pool area – bold glass, smoking, gum– cellphone, etc.
- Codes – update one more time – add CCAM address
- Dock - Bo
- Water line was broken going out to the fish cleaning station. Bo and other volunteers replaced clamps on the water line.
- Screws coming up, replaced with wood screws.
- Bowed boards, replace as needed.
- Pressure washing of the dock – look later in the year when weather is cooler – get a group of volunteers.
- Roads - Robbie
- Speed bumps – cost $200-$300 each – need to order – suggest the board order one for now and place on road near the clubhouse
E. Codes - Sherry – requests –
- Bundy was to send a copy to the Armstrong’s a letter about putting a pipe under their concrete slab
- Bo – extended porch- approved
- Paving within 5 feet of property line, it’s in the by-laws. Can ONLY do up to five (5) feet from the property line & with neighbor’s approval.
- Grounds - Charlene
- She has done a great job & was able to get several yards cleaned.
4. Old business
A. By-laws –
- Bylaws; work in progress.
- Working on finishing the covenants, lawyer wants past covenants. Robbie went to courthouse to pull up past documents.
- Need a complete trail to make the documents correct and for people to comply. Example: Beaufort Co. Leash law
- The island is aging and we will eventually need to fix large cost items (i.e., roads, dock, clubhouse & roof, and HVAC system).
- Regime fees have not been raised since 2003 and were raised $250.00. There was a detailed discussion on what would be an acceptable amount ($100.00 - $300.00).
- Will this money be placed in a reserve fee account? Yes, place this money in a separate reserve fund account for large expenditures.
- We have approximately 157 property owners – 157 x $200.00 = $31,500.00 a year.
- Pool, roof, and dock – need to get estimates.
- We need to have clear expectations and gather information, then we can present estimates of what this money will be used for – roads, clubhouse, pool, dock, etc.
- Patty (CCAM) – Hire engineering to have a study done. They will provide an estimate on how much items will cost to fix in the future. Estimated price for this study is approximately $3,000.00. The board opted to keep in in house to save $3,000.00.
- Patty - Change collection of regime fee payment to one time a year. Prorate to get everyone paying at the same time. This will take time, over the next 2 years. Pete will work with Patty on the schedule.
- Hardships – It was agreed that during the two year transition, the board will work with each individual.
- Pete - Motion to increase regime fee $200.00, start prorate in 2016 & everybody will pay on the same month in 2017- passed

5. New business
A. Renters –
- There’s an advertisement on FB for renters – Police have been called to this home for domestic abuse & drugs, and other violations.
- Asked Patty – What is the compliance? – Send certified letter – His aunt needs to be notified of 30 days eviction notice. Patty will send a letter.
- Property Damage
- Guardrail in front of the Henderson’s has been damaged. What do we need to do? Have the person who damaged it, pay for the repairs.
- Pool lock gate issues –
- People were able to push open.
- Pete – Gate was installed poorly. He met with installer (Dave R) who had never installed a lock on a chain link fence.
- When the system is unplugged or power goes out, the gates will automatically unlock. There is a battery backup, but it didn’t work.
- Need to get a secondary locking system for this reason. Dave has the old one & hope they’ll work.
- Drainage –
- Severe flooding on island left side of the island – Marie, Robbie, Courtney’s, Al Shealy, etc.
- What is the resolution? Contact OCRM (Patty) and see about new drain line/repair.
Air conditioner maintenance –
- Make sure it works properly.
- When was it last serviced?
- Does it need to be serviced?
Palm trees entrance – trim –
- Do with volunteers or pay – do a workday in the fall.
- Get an estimate
